About NCAC
The National Childcare Accreditation Council (NCAC) is responsible for the implementation and administration of Quality Assurance (QA) systems for family day care schemes, long day care centres and outside school hours care services throughout Australia.
NCAC is committed to ensuring that the information held by NCAC regarding child care services*, Validators** and Moderators*** participating in the QA systems is held securely and that confidentiality is maintained.
NCAC follows the Information Privacy Principles of the Privacy Act 1988. NCAC is committed to ensuring that all actions undertaken by NCAC comply with the Information Privacy Principles and acknowledges the importance of keeping the personal details of services and individuals confidential and secure.
The Information Privacy Principles may be viewed at the Privacy Commissioner's website (www.privacy.gov.au)
*Including staff/management of family day care schemes, long day care centres and outside school hours care services.
**Validators are seconded by NCAC to complete Validation Visits (Step 3).
***Moderators are seconded by NCAC to complete Moderation Sessions (Step 4).

Your personal information
The personal information held by NCAC may include the following details for child care service providers, Validators and Moderators:
- Name, addresses, telephone numbers (home / work / mobile)
- Information relating to a service's business / legal entity
- Qualifications, recognised training and / or position of staff in a service
- Billing information

Collection of Information
NCAC collects information:
- Directly from you, when you provide information about your service or yourself through the post, or by facsimile
- In the case of Validators and Moderators, personal information may be gained from application forms or referees
- From third parties such as the Australian Government Department of Family and Community Services or State/Territory Licensing Authorities
- From members of the community
- From o ther publicly available sources of information

Use of Personal Information
NCAC may use your personal information to:
- Administer and manage your service's progress through the QA systems
- Inform you of relevant details regarding your service's participation in the QA systems
- Effectively inform and prepare you when undertaking your role as Validator or Moderator
- Maintain and develop the administration of the QA systems, and research ways in which we can improve
- Support services, Validators and Moderators participating in the QA systems by sending publications and information as requested
We may also use personal information (following the removal of all sensitive information that may identify individuals or services) for research and internal administrative purposes.

Disclosure Your Personal Information
NCAC may disclose your personal information to:
- The Australian Government Department of Family and Community Services and relevant State/Territory Licensing Authorities
- Service representatives (e.g. details regarding the service's progress can be provided to authorised service representatives or legal advisers)
- NCAC's professional advisers, including our accountants, auditors and lawyers (e.g. financial details for Validators and Moderators)
- Validators (e.g. the service contact details, staff names and service representative details are provided to Validators undertaking the Validation Visit)
- Families looking for care (e.g. the service location address and telephone number is maintained on a public database of child care services)

Can you access your personal information?
All services and individuals registered with NCAC have the right to receive details about the personal information held by NCAC about themselves and their service, subject to some exceptions allowed by law. If you would like to do so, please contact NCAC's Privacy Officer.
For security reasons, all requests from services must be put in writing, on service letterhead and signed by an authorised service representative. There may be a reasonable fee for accessing details of your personal information.

- Your e-mail address will only be recorded if you choose to send us an e-mail through qualitycare@ncac.gov.au, pcf@ncac.gov.au or careers@ncac.gov.au. It will only be used for the purpose of responding to your query and will not be added to a mailing list or disclosed to a third party without your consent.
- Please note that when you send NCAC an e-mail the content of your message may not be secure as it is transferred across the Internet. If your message contains sensitive material and requires confidentiality we suggest you contact NCAC by telephone, facsimile or post. For this reason NCAC requires that complaints be forwarded by post.
